When merging PDFs is the right move

Merging matters whenever a single logical document arrives in pieces. A signed contract plus its appendices and a countersigned page; a scanned ID, proof of address and bank statement bundled for a visa or KYC submission; a month of receipts assembled into one expense claim; a thesis where each chapter was exported separately. Portals and reviewers almost always want one file, not seven attachments — and email clients cap attachment counts long before they cap a single file's size.

The other common case is archival. A stack of one-page scans (a passport, a warranty, a utility bill) is far easier to find a year later as a single named PDF than as twelve files called scan_0001.pdf through scan_0012.pdf. Merge once, name it well, and the folder stays sane.

Get the page order right the first time

• Top-to-bottom in the file list becomes page 1-to-N in the output — drag the tiles before you click Merge, not after.
• If your files are already numbered (01-cover.pdf, 02-body.pdf) they usually drop in order; if your OS sorts 10 before 2, rename with leading zeros first using Filename Cleaner.
• Need one page from the middle of a file slotted into another? Merge is file-level — reach for Organize PDF, which reorders and deletes individual pages across the whole set.
• Mixing landscape and portrait is fine: each page keeps its own size and orientation. Nothing is stretched or rotated to match.

Mistakes that bloat or break the merged file

The most common surprise is size. Merge concatenates — it doesn't recompress — so ten 4 MB scans become a 40 MB file. If the result is too big to email, run it through Compress PDF afterwards; for scans specifically, that's where the real savings live.

The second is password-protected inputs: an encrypted PDF can't be read until it's unlocked, so clear the password with Unlock PDF first (you'll need the password — this removes a known one, it doesn't crack it). The third is metadata: the merged file inherits the title and author of the first document, which may not be what you want on a file you're about to send. Merging confidential documents without leaking them

Because the merge happens in your browser, the files never reach a server — which is the whole reason this is safer than an upload-based merger for contracts, medical records or financial statements. Two habits make it airtight: redact before you merge, not after (combine first and sensitive pages are now buried mid-document and easy to miss), and strip metadata after, since merged PDFs can carry the original author, software and timestamps.
